Start

  1. On Projects, press New project. A PM or an administrator creates projects; whoever creates one becomes its PM.
  2. The bar at the top shows the five steps. Next and Back move between them; Skip takes the default.
  3. Nothing is created until you press Create project on the last step.

1. Project basics

  1. Type the project name, the client and the site, and the start and finish dates.
  2. The project code is suggested from the name. Change it if your company uses its own codes.

2. Project type

  1. Pick the card closest to your job: paper or pulp mill rebuild, power plant or boiler outage, or one under More project types. Blank starts with nothing ticked.
  2. The card shows what it adds: trades, areas, lifecycle phases with their gate checklists, and the boards.
  3. Untick any area, phase or gate item you do not want. Add other areas as 'CODE, Name', one per line.
  4. Skipped: Blank, with the standard five phases.

3. Trades and contractors

  1. The project type's trades are ticked. Each trade gets its own board. Tick or untick, or add others as 'CODE, Name'.
  2. Type the contractor names next to each trade, separated by commas. You can add them later.
  3. Skipped with nothing ticked: civil, structural, mechanical, piping and E&I.

4. P6 schedule (optional)

  1. Choose your P6 export (.xer, or .csv with activity, name and trade columns) and press Read the file.
  2. The areas, trades and contractors in it are listed and ticked. Match each P6 trade code to a trade, make it a new trade, or leave it out.
  3. Area and trade codes then match the schedule, so every activity lands on its board.
  4. On Create the schedule loads and is set as the baseline.

5. Review and create

  1. Check the list. Anything wrong is shown in plain words on the step it belongs to.
  2. Press Create project. Everything is saved together, or nothing is.
  3. The project opens with its NDA first (every project is closed until it is signed), then Finish setting up: assign trade leads, publish the client's NDA, load the drawing list and cost report, invite people.

Advanced setup

  1. The older one-page form is still under Advanced setup on the New project page, with every field typed in. It is for administrators only.

Change it later

  1. Settings edits the project details, each board (title, owner, readers, contractors, tie-in words, doc control folders, forms) and phase dates and gate items.
  2. Add a trade board at the bottom of the Boards list.
  3. If one person runs two trades, give them both boards rather than merging the trades.
  4. Lifecycle shows the phases and their gate checklists. Tick gate items and set the current phase there.

Settings is for the PM only; the CM assigns trade leads and uses Lifecycle.

Load the data

  1. On Upload data pick what the file is, choose the file and press Upload.
  2. Load the P6 schedule first (if you did not in setup), then the cost report, then the doc control drawing list.
  3. Daily logs and the watch list go in as they come.
  4. Every board reads MISSING or NEVER until its data arrives. A file that cannot be read changes nothing and marks the feed FAILED.
